Parties that book themselves, events that fill weekdays.
A party managed through DMs, a spreadsheet and a separate deposit link follows you into every weekend. You answer package questions, check whether a time is still open, chase the payment and copy the details into the desk list. When the guest count changes, you update it again. Staff still need to know the balance and which waivers are missing. Online booking puts those details together, so Saturday starts with the parties in front of you rather than a search through last week's messages.
Online party booking
Parents book in five steps: package, date and time, children, your info, deposit, with the member discount applied as part of the booking rather than a separate conversation with the owner. The party is confirmed the moment the deposit clears, so there is no “we'll get back to you within 24 hours” while the family wonders whether to send invitations. The booking and deposit belong to the same party, leaving the desk with a confirmed date instead of a payment link to reconcile.
Party packages
Set each package's price, length, included kids and extra-child fee in admin, along with an optional extra 30 minutes when your venue offers it. Changes go live on the site immediately, so the package parents read is the one they can book, without waiting for someone to update a separate pricing page. Keep the choices specific to your room and schedule: a shorter Friday party can have different pricing and included children from a longer weekend package, all in the same place.
Party pipeline
Every party moves through Inquiry → Deposit Paid → Paid In Full → Completed, giving you a clear distinction between someone asking about a date and a family who has paid to reserve it. Upcoming revenue is totaled at the top, so you can see what is ahead without adding up individual parties in a spreadsheet. When you review the weekend, those stages make it easier to identify the conversations still waiting for a deposit and the confirmed bookings that still have a balance due.
Party admin
The weekend-at-a-glance view brings parties, revenue and balance due together, with signed waivers counted against each party instead of left in a separate list. Block a whole day or a time range and record the reason, whether the room is unavailable for the day or only during part of the afternoon. A count such as “Waivers 9/15” gives staff a concrete starting point before guests arrive: nine are signed, six still need attention, and the booking's payment details are there too.
Deposit requests, reminders and policies
Automatic deposit requests and balance reminders handle the payment follow-up, so the owner does not have to remember which family needs another message between running sessions and setting up the party room. Offer party protection as an optional add-on, with your full policy and FAQ set on the parties page where parents can read them before booking. Put the terms you actually use alongside the packages, rather than explaining the same policy in a new DM every time someone asks about a party.
Events that fit your weekdays
Create themed days, ticketed events or free sign-ups, with first-child and additional-child pricing set for each event rather than forcing every family into one flat ticket price. Set a member percentage discount and capacity, so the event reflects both your membership offer and the number of children your space can take. Use the published toggle to control whether the event appears publicly, keeping the event's details together as you decide which weekday activity to put on the calendar next.
